Instagram DMs: replying without living in the app
How a small business can answer Instagram DMs without living in the app: saved replies, instant and away messages, a daily routine, and when to automate.
For a lot of small businesses, Instagram is where customers start the conversation. Someone sees a reel or a story, taps the message button and asks the price, whether you have a booking on Saturday, or if you deliver to their suburb. Answer within the hour and you often get the sale. Answer two days later and they have usually moved on.
The problem is that answering quickly can turn into living in the app. This guide covers how to reply to Instagram DMs well without checking your phone every ten minutes: what to set up once, a simple daily routine, the mistakes that lose customers, and the point where automation is worth it.
It is written for Australian small businesses that sell through Instagram: cafés, salons, studios, clinics, makers and shops.
Start with the right account and inbox
Instagram's business messaging tools sit behind a professional account (business or creator). If your business still runs on a personal profile, switching is free and is the first step.
Two other things are worth checking before anything else:
- Connect Instagram to your Facebook Page and Meta Business Suite. Most of the inbox tools, including the automatic messages, live in the Business Suite inbox, which shows Instagram and Facebook messages side by side. You can answer from a computer instead of your phone.
- Check your message requests. Messages from people who do not follow you can land in a separate requests folder. Plenty of businesses discover enquiries there that are weeks old. Look at it every day, or adjust your message controls so customers reach your main inbox.
Menus move around between app versions and account types, so look for these settings inside your own account rather than following an old screenshot.
The four things to set up once
An afternoon of setup removes most of the repetitive typing.
- Saved replies. Instagram lets professional accounts save a reply and give it a short keyboard shortcut. According to Instagram's help page on saved replies, you type the shortcut in a chat and tap to fill in the saved text. Write your ten most common answers once: prices, hours, location and parking, how to book, delivery areas, turnaround times.
- An instant reply. In the Business Suite inbox you can switch on an automatic first reply for new conversations. Keep it to two sentences: thanks, what to expect, and a way to act straight away.
- An away message. Outside your hours, people should know when you will reply. "We're back at 9am tomorrow" stops them assuming nobody reads.
- A complete profile. Hours, location or service area, a booking link and a contact button. Every answer the profile gives is one DM you do not have to write. Keep the details identical to your Google Business Profile and website; our guide to keeping your name, address and phone consistent explains why that matters.
A first reply that works
"Hi, thanks for messaging Example Studio. We reply between 9am and 5pm, Monday to Saturday. To book a class now, use the link in our bio, or tell us what you're after and we'll get back to you."
Short, honest about timing, and with a way to book without waiting for you.
Which question goes where
| Customer question | Best place to answer it |
|---|---|
| "How much is it?" | A saved reply, plus prices on your website |
| "Are you open today?" | Hours in your profile and your away message |
| "Can I book?" | Booking link in your bio and your first reply |
| "Where are you?" | Address or service area in your profile |
| "Do you have this in stock?" | You, in person: it needs a real check |
If a question keeps coming in, the answer belongs somewhere permanent: your profile, a pinned post or highlight, or your website. The more your profile and site answer, the more your DMs are about real decisions rather than basic facts.
A daily routine that keeps you out of the app
Fast replies come from a routine, not from constant checking.
- Pick two or three reply windows a day. For example, 9am, 1pm and 5pm. Put them in your away message so customers know when to expect you.
- Clear the inbox in one sitting. Saved replies first, then the conversations that need thought.
- Label or flag what is open. Business Suite lets you mark conversations so you can see which ones are waiting on you, which need a quote and which are done.
- Move bookings out of the chat. Send the booking link instead of agreeing times by message. Back and forth over times is where most DM time goes.
- Turn off notifications outside your windows. The away message is doing that job.
If more than one person answers, agree who covers which window. Two people replying to the same customer with different prices looks worse than a slow reply.
Mistakes that lose customers
- Replying days later with no away message. The customer is gone, and they did not know you were going to answer.
- "DM for price" with no price anywhere. Some people will message; many will not. Even a "from" price on your site or a highlight helps.
- Bulk messaging people who did not ask. The ACMA's guide on avoiding spam says you need consent before sending commercial electronic messages, and they must identify you and make it easy to unsubscribe. Answering someone who wrote to you is different from promoting to a list. Check how the rules apply to your messages with your adviser.
- Asking for sensitive details in a DM. Card numbers, ID documents or health details do not belong in a chat thread. Send people to a secure booking or payment page.
- Letting an automatic reply pretend to be a conversation. An instant reply that promises "we'll answer straight away" and then goes quiet for a day is worse than none.
When it is time to automate more
Instagram's built-in tools greet people and fill in text you saved. They do not answer the question. You can tell you have outgrown them when:
- Most conversations start with the same handful of questions you answer by hand.
- Enquiries arrive at night and on weekends and nobody sees them until Monday.
- Instagram, WhatsApp, your website and missed calls all need answering, and they are in different apps.
- You want enquiries and bookings to land in one place, not scattered across chats.
At that point an assistant that answers the repeated questions from information you approve, and hands anything else to a person, makes sense. One timing detail is worth knowing: Meta's messaging policy for developers says that for most user actions a business has a 24 hour window to respond, with a separate human agent option for manual replies within 7 days. Any tool that replies on Instagram for you works inside those rules, which is another reason not to leave messages sitting.
If the same problem shows up on WhatsApp, our WhatsApp Business setup guide covers the free app first. To compare quotes for an assistant, see how much an AI chatbot costs a small business in Australia.
Prices in Australian dollars. Every proposal is confirmed in writing before we start.
Realtiq's chat assistant answers on your website, WhatsApp, Instagram, Facebook, email and SMS from information you approve, and passes anything it cannot answer to you. The details are on the AI chatbot page.
Common questions
Can Instagram auto reply to DMs for free?
Yes, within limits. With a professional account connected to Meta Business Suite, you can set an automatic first reply and an away message, and save replies you send with a shortcut. They greet and inform; they do not answer specific questions for you.
Do I need a business account for saved replies?
Instagram's saved replies and inbox tools are for professional accounts. Switching a personal profile to a professional one is free in the app's settings.
How fast should a small business reply to Instagram DMs?
There is no rule that suits everyone, but the time you promise should match the time you keep. A clear away message with your reply windows, and replies inside those windows, beats an unpredictable "as soon as possible".
Is it OK to message everyone who follows us?
Replying to people who message you is normal customer service. Sending promotions to people who have not agreed to receive them is a different matter: read the ACMA's guidance on commercial messages and check with your adviser. How Realtiq handles data on this website is in our privacy policy.
